Student Workers
Generally, student workers have an active job record through Human Resources and/or a current academic assistantship. If you have a student (undergraduate or graduate) working for you or your department who qualifies, you are able to request a student worker account. This account will help delineate tools and data between their work account and student account, as well as provide access to specialty software or printing. This also provides a stronger level of security and ability to remove access when they are no longer working for you.
A student worker account has a custom TCU username and unique password that the student will use to login to computers and tools.
Each year student worker accounts automatically expire on June 2nd; however, the student’s sponsor (usually the supervisor) may request renewal.
Common Student Worker Requests
- Adobe Software (on the TCU-owned computer they will be accessing)
- Computers & Laptops
- Emailing & Calendaring
- Faculty Staff Wi-Fi (required for TCU-owned laptop usage)
- Files & Storage (shared drives, Box, additional storage)
- Phones (desk phone or software)
- Printing & Copying (Xerox, HP)
- Specialty Software (ex: budget, ticketing, Qualtrics, departmental-specific, etc.)
Note: If a student worker is working remotely via VPN, they must use a TCU-owned computer provided by their department.
Sometimes a student has worked on campus in another department and had a student worker account. Please check with your student if this has been the case so that we can customize their access to your department.
In order to request a new student worker account, sponsors should contact the IT Help Desk and provide the following information:
- Sponsor name (usually the supervisor)
- Student full name
- TCU ID number
- Has this student worked on campus and had a student worker account before? Yes/No
- Expected start date
- Name of each computer the student will be logging into:
- Ex: TCUDTXXXXXXX or TCULTXXXXXXX
- Do they need a student worker email address? Yes/No
- Are they going to print to a Xerox printer? Yes/No
- If yes, provide budget codes to bill through PaperCut.
- Are they going to print to an HP printer? Yes/No
- If yes, what is the name of the HP queue name (Ex: IT_HP402_SWR153)
- Do they need access to a shared drive? Yes/No
- If yes, what is the name of the drive?
- A list any other applications to which they need access
- The full name and TCU ID number of another current student worker with the same, existing access (for reference/comparison purposes)
For security purposes, all student worker accounts expire annually on June 2. If needed during summer or the following year, sponsors should contact the IT Help Desk to renew the student worker account. Sponsors can request renewal in the week leading up to account expiration in order to avoid interruptions in access as the summer begins.
In the renewal request, please confirm whether or not access should remain the same as in the previous work period.
